NEAOBA BOD Meeting

December 9, 2010

7:30 P.M.

1.  Approval of November 11, 2010 and the November 18, 2010 minutes

 

A motion was made and seconded to accept the corrected minutes from the November 11, 2010 meeting.

 

A motion was also made and seconded to accept the minutes from the November 18, 2010 meeting.

 

2. Status of Action Items (old and new)

 

All of the accounts receivable have been paid with the exception of one farm, which is currently being followed up on.

 

Matt is continuing to follow up with a prospective Representative from Maine.  We would like to have all the reps in place by the January meeting so they can join us for part of our teleconference.

 

With the time running out for our ability to host a vet seminar in 2011, we have decided to have Matt continue to work on topics of interest in the hopes of holding a seminar in the late winter or early spring of 2012.  The optimum time for vets seems to be mid -to -late March. The UNH campus classroom/barn set up is again available to us through Jack Dibb.  Ideally we would like to have all the details in place by the end of summer 2011, so that we can announce the seminar then.

 

Barbie was not able to be with us to give us an update on the NEAOBA e-zine proposal.  Bill did check on the A & M website and saw that they already offer an e-zine.  We will wait to hear from Barbie on the details.

 

3. Treasurer's Report

 

The treasurer's report now has a Special Events breakout to show what we are spending at each event. 

 

A motion was made and seconded to accept the Treasurer's Report as presented.

 

4.  Updating and Changing the Website

 

NEAOBA- The current messages on the website are that memberships expire at the end of the year and the announcement of the New England Alpaca Classic on 11/11/11.

Other events to be listed on the website include the North American, NEAF, Green Mountain and The Big E.  Pam has all the past NEAOBA News articles archived now.  The website has a lot of good research material available to members now.  It is much improved and fairly comprehensive.

 

NEAC- Pam has been working with Al Maloney to make the New England Alpaca Classic website updated with its new look.  The fall colors look amazing!  While it is not totally complete, they continue to work diligently on it.  Adding the sponsors with an active link and possibly their farm logo (depending on sponsorship levels) was discussed as a nice perk to increase sponsors.  Due to the website updating, the Board will be increasing the allocation for website work.

 

5.  New England Alpaca Classic

 

Formation of Show Committee - a show committee for NEAC was formed with Pam as the Chair.  Other members include Lennie, Nicola Blake and Jack Dibb.  A new ad was created specifically for NEAC that will be placed in the spring edition of American Livestock magazine and the spring and fall issues of NEAOBA News, where we will use inside the front cover.  The Show Committee will discuss whether they want to do more advertising or not and if they want to request a budget.  They will try to get together after the first of the year to hash out details.  Lennie will send out an estimated budget before each monthly meeting as well as report back to the Board with Pam on the progress of the show.  The better organized we are, the better we will fare.

Lennie will be checking with the DCU on the proposed rings and aisles.  Carpet underlayment will be used to make the floors less slippery.  Money has already been budgeted for this.

 

6.  Marketing

 

While Barbie was not able to attend tonight’s meeting, we did discuss the replacement of bumper stickers with a more practical and affordable way to advertise and promote our organization.  Pam found business card sized magnets that she designed through Vista Print to advertise the upcoming NEAC show that was very eye-catching. We will wait to speak with Barbie before going ahead on the purchase of any marketing tool.  We would like to make a decision at the January meeting so we can have something to advertise NEAC available for distribution at North American in April.  A good tag line might be "Where are you going to be on 11 - 11 - 11?"

 

7.  Events

 

The Farm and Forest is the only event we did not talk about tonight and we will wait until Barbie is with us so she can fill us in.

 

8.  Education

 

If we do get a speaker for our vet seminar in 2012, we have decided that breeders can attend the day with the vets, but should not ask questions directly.  We feel that with the proper facilitation, questions could be fielded from breeders.  The key is having a good speaker, which Matt is working on.

 

9. Membership

 

We have had 14 farm renewals since the website announced the membership renewal was under way.  The Constant Contact will be going out this week.

 

10.  Other Business

 

None

 

The next meeting will be held on Wednesday, January 26, 2011 at 7:30 P.M.

 

Our meeting day is changing to accommodate current changes in the members' schedules.  Starting in February, we will now meet the second Wednesday of the month.
